A reservation is used to reserve an AWB number without assigning a file number.

The reservation receives a reservation number, which is treated as if it is a file number.

→ The reservation must be converted into an actual file before you can process the order.

Set up reservation number

Settings for the reservation entry must be made in the File Definition and Number Ranges master data.


ADMIN → FILE NO. DEFINITION

Set up a version in the file no. definitions that does not match the order entry file numbers and is only used for Airfreight reservations.


ADMIN → NUMBER RANGES

Set up a number range in the number ranges that applies only to Airfreight reservations.

With the entries month=0 and year=0, this is permanently valid for all years.


Create a reservation

Open the file entry mask via menu File → New.

Select the checkbox Reservation for an AWB reservation.

The file number changes to file number variant Reservation (RES-xxxxx).
Reservations receive reservation numbers starting with RES- instead of normal file numbers.

Select the Order sector export or import.

  • All other fields are not relevant for the reservation and cannot be edited.

Click OK.


Reserve Carrier- or House-AWB number

The drop-down box Res. type to select whether it is a Carrier or House reservation is now located directly in the headline of the AWB Main tab.


Assign reservation number

Press F6 to assign an AWB number.

Select between AWB no. from stock and AWB no. manually.

The AWB number is displayed

  • in the title bar above the order and
  • in the headline

After you have received the AWB number, close the reservation file by clicking X or via the menu File Close.

CARRIER

→ MAWB number is drawn from the carrier stock in basic data AIRFREIGHT → CARRIER.

Fill the fields Destination and Carrier for a MAWB number reservation.

HOUSE 

→ MAWB number is drawn from the HAWB number range of the branch.

Fill the destination field to/via for a HAWB number reservation.
If de
fined as a required field in your basic data, the field Carrier must be filled as well.


Convert the reservation into a file

  • The reservation remains available as a file. You can open and edit the reservation at any time.

Select File Open in the menu bar.

In the mask Open file enter the reservation number into the File no. field.

If the number is still available in the dropdown list or in the lower section, simply click on the number.
→ If the number is not available, enter it manually or click Search to search for the reservation.

Click on the button Conversion.



Select AWB type for Carrier reservation

CARRIER reservations can be converted into Master-, Consol- or IATA-AWBs.

  • Activate the relevant AWB type.
  • Click OK.
  • Select the department(s), order date and, if necessary, the departure date for your file.
  • Confirm by clicking OK.
    The file number appears.
  • Click Close.
    The Open file mask opens. The new file number is automatically inserted into the File number field.
  • Click OK to open the file.
    The Order tab of the converted file opens. The new file shows the AWB type.

You can now enter further details in the file.

The Info tab shows a reference to the previous reservation number:


Select AWB type for House Reservation

AWB type [House] is the only type available for the HOUSE Reservation.

Close the message.

The file number displayed in the message is copied into the File no. field.

Click OK to open the new file.


Now use the file creation window to select the area for which the file is to be created.

The new file number variant is displayed in the File number field.

Select the Button Close.
