1. General

Invoicing

Language for form and text modules is determined in the document or via the invoice recipient address

Previously, the language for forms in the invoicing area was determined based on the employee settings. This also resulted in the language for stored text modules / E-Mail-Template and subject lines.

It is now possible to set the language for the forms and the associated text modules / E-Mail-Template directly in the outgoing invoice or to use the language of the invoice recipient if the language cannot be changed in the document.
This change applies to the following areas:

  •          Outgoing invoices

  •          Outgoing invoices from the calculation tab, created manually or via CargoCom

  •          CC invoicing airfreight

  •          Master HAWB invoice airfreight

  •          Complaintvoucher from the incoming invoice

  •          Gateway billing seafreight and airfreight

If outgoing documents are created via Order > Invoicing, the language can be set in the document.
In all other areas, the language is always taken from the invoice recipient address.

The following settings are necessary for this behavior to take effect in TMS:

  1. Activation takes place via a global setting:

  • Entry for a special client, e.g. 001:

INSERT INTO global_sett_t (schluessel, wert) VALUES('AUSGANGSFAKTURA_FORMULARSPRACHE_AUS_BELEG001','J');

  • Client-independent:

INSERT INTO global_sett_t (schluessel, wert) VALUES('AUSGANGSFAKTURA_FORMULARSPRACHE_AUS_BELEG','J');

Without the global setting activated, the behavior remains as before.

  1. All affected forms and form attachments in BASIC DATA > Admin > Forms, as well as the text modules / E-Mail-Template stored in them, must be available in the corresponding language.

If a form is not available in the specified language, the system automatically switches to English and then to German.

If you would like to use this function, please get in touch with your contact at CargoSoft.

Add documents directly when entering a voucher

Previously, an incoming voucher first had to be saved before documents could be stored in the eFile.

Now you can switch directly from the Process voucher tab to the eFile and back again without having to save it first. When switching, a prompt appears asking whether you want to save.

The prerequisite for this is that at least all mandatory fields in the voucher are filled.

If a document was entered completely before switching to the eFile, it is automatically switched to display mode with the save confirmation, otherwise the change mode remains until the final save.

Furthermore, if the focus is on the eFile, the following new options are available:

  • Clicking on the new creation icon opens a new voucer

  • Clicking on the open icon opens the Search tab directly

Posted vouchers with closed files can be processed directly

In order to be able to reprocess a posted incoming invoice with a closed file, the closed file had to be reopened first. Otherwise, the voucher was opened in display mode.

Now the extra step of opening a previously closed file has been integrated into the process. When opening a posted incoming invoice with a closed file, you are asked whether the closed file should be reopened. If you confirm, the document opens directly in edit mode and the file is reopened.

If a posted voucher with cross-departmental files, which may also be closed, is to be reprocessed, the authorization FAKEINALL is required. Here too, when the document is opened, the user is asked whether the closed file should be opened and, if confirmed, the document can be edited directly and the file is open again.

Without this authorization and cross-departmental file in a voucher, the user may only edit, delete or add the billing lines for which he is authorized.

Save internal settlements in the e-File

The report for internal settlements can now be stored in the eFile when the document is saved.

The following basic data settings are required for this:

  1. The preallocation d.3 must be available in Basic data → ADMIN → PREALLOCATIONS

  1. The form category UMBUCH is available in the Basic data → ADMIN → FORMS → FORM CATEGORIES The preallocation d.3 Transfers mentioned under 1) is stored here

  1. In the IBV form (internal settlements), the category from 2) UMBUCH is stored in the Basic data -> ADMIN -> FORMS -> FORMS. The check mark for eFile must also be set here and a PDF printer must be stored.

  1. In the Basic data → COMPANY → INVOICING → ADMINISTRATION, the check mark must be set in the field Printtransfer booking. If this box is not checked, the print of the internal billing must be triggered manually so that the document is stored in the eFile via the print routine.

The document can be transferred from the eFile to a DMS system via the CargoService eFile Exporter. This requires a fee-based setup of the CargoService and, if necessary, an adjustment of the preallocation for the transfer to the DMS system.

Other Topics

EDI-Inbox → Transfer of add-on fields when wadding and updating files

Via the mask editor in the Extras environment menu of the TMS application, additional fields can be added to the description of goods and container data, additional fields can be added and saved.

These additional fields are now also transferred or update from the EDI inbox.

Furthermore, when transferring the description of goods from an order to the description of goods of a service order with the local menu function Copy goods descriptions, the additional fields created are also copied.

eFile → Conversion from SOAP to REST possible

The connection for the eFile was previously made using SOAP and can now be switched to REST.

The prerequisite for using access via REST is a current version of the eFile WebService. This setting is made in the Basic data under COMPANY à EFILE

Switching from SOAP to REST generally has speed advantages when exchanging data. This means when uploading and downloading files from the eFile.

The setup is carried out by CargoSoft.

Copy and Split file → Copy eFile documents from a file

Under Order → NEW → Copy a file and Order → Open → Split a file, you can select which additional information should be copied from an file. The checkbox Copy eFile documents has been newly implemented. A separate query as to whether eFiles documents should be copied has been removed. The default setting of the checkbox can be controlled individually for each client in the basic data under COMPANY à COPY AND SPLIT..

Change of client → Open tabs can be closed collectively with a query

If a client change is to be made in a TMS application in the Extras menu and there are still tabs open in the application, it is now possible to close these collectively by confirming the pop-up message. The window with the client selection is then opened directly.

This function applies to all TMS modules in which a client change is possible.

[ENT- 8492]

Deactivated files → Forms and reports can be printed and sent

Deactivated files are in display-only mode. Any activity, such as changes or printing, is then no longer permitted.

It is now possible to allow the printing and sending of forms and reports in deactivated files.

This applies to the Forms and Services à Forms tabs.

To use this function, it is necessary to activate the DEAK_FORM_DRU authorization object in

Basic data → ADMIN → AUTHORISATION PROFILES.

[ENT- 8289]

Sidebar → Warning for invalid item number only appears when leaving the field

If an invalid or incomplete file number is entered in the sidebar, the warning that the file could not be found only appears when the field is exited using the Tab or Enter key.

If the focus remains in the field, it is possible to perform another function, such as the dashboard search, without a warning message appearing.

2. Airfreight

Consol → Consolidation tab → New funktion Remove HAWBs, deactivate and delete calculation lines

HAWBs can now be removed from the Consol with this function, deactivated and the calculation lines in the shipment deleted.

To do this, select the desired HAWBs and execute the function in the local menu.

To activate this function, the authorization CONSOL_HAWBDEAKT in BASIC DATA → Admin → Authorization profiles is required.

 [ENT- 8388]

AWB Layout → HS codes can also be printed

Previously, customs tariff numbers that were entered in the Order → Description of goods → HS codes were only transferred to the airlines during the electronic AWB transmission (Champ).

Now the customs tariff numbers can also be printed in the AWB in the Description of goods area at the bottom.

To do this, it is necessary to activate the following global setting:

  • For a specific client:

INSERT INTO global_sett_t (schluessel,wert)VALUES('AWB_Print_HSCodes_001','J');

  • For all clients:

INSERT INTO global_sett_t (schluessel, wert) VALUES('AWB_Print_HSCodes','J');

If you would like to use this function, please get in touch with your contact person at CargoSoft.

 [ENT- 8469]

3. EDI Interfaces

XML Importer → Extension of additional fields at container level

Originally, it was not possible to fill additional fields at container level via imported XML files.

This option was made possible by extending the XML importer.

If you are interested in this, please contact your CargoSoft contact person.
