Make a new block reservation

Click Airfreight → Block reservation in the order and afterwards File → New.

The block reservation mask opens.

Enter the carrier as well as the quantity of AWB numbers that are to be reserved. Click OK.

Click Create/Enter AWB number and (de)activate instant print:

If required, you can switch to manual assignment of AWB numbers: 
→ Activate the checkbox AWB no. manually.

After having confirmed, the AWB numbers are drawn from the stock and the program immediately generates a print.
One page per AWB number is printed by default.

You can also deactivate the instant print. 
Deactivate the Print checkbox. 
Click OK.

Stock selection with several valid stocks

If there are several active stocks for your branch in the carrier master data, a selection will be displayed.

Select the relevant stock here by activating the checkbox checkbox Sel. (=Select).  Click Accept.

The program retrieves the AWB numbers and generates the prints.

The AWB numbers determined are displayed.

Search and print reserved AWB numbers

In the Block reservation program you can see all AWB numbers reserved via block reservations.

AWB numbers that are returned to a stock are displayed as well.
It does not matter whether the previous resevation was a block reservation, a standard reservation or whether the AWB number was returned from an order.

This program shows the AWB numbers that were assigned to a file and the corresponding file number.

Branch

This field displays the code of the current logged in branch.

Attention: You can also search for reservations of other branches (within your client).

You can only enter reservations for your current branch, the login in must be in the branch for which the reservation is to be arranged.

Carrier code

For technical reasons, carrier codes are automatically converted into the carrier prefix, here: 020.

Carrier prefix

Search with carrier prefix, e.g. 020. 

AWB number

Search with the AWB number - enter this number without prefix. 

File

  1. Search for files:

    1. A file number is entered as soon as the AWB number from the block reservation has been assigned to a file.

    2. In this program you can see details from the table carrierreserv_t.
      This also includes AWB numbers that have been returned from a file back to the AWB stock.
      These AWB numbers are assigned as usual via F6 in the file and subsequently returned to the stock.
      Returned AWB numbers are displayed with the file number.

    3. For a newly reserved AWB number, the field File number is filled with the AWB number including prefix, e.g. 02012345678.
      It is therefore possible to search with the AWB number, provided that the AWB number has not been assigned to a file.

Stock ID

Every AWB stock recorded at a carrier automatically receives a unique number.

This stock ID remains when you reserve or return the AWB number.

Search result

For technical reasons, the search result also shows the prefix in the field Carrier code.
The AWB number is displayed without prefix and leading zeros.
The field File number displays the file number if the AWB numbers were already assigned, otherwise the entire AWB number incl. prefix.

Click the button Direct print to print a list of all displayed AWBs.
To select multiple lines, press and hold the CTRL key and click on the relevant lines.

Print reports

You can generate a print with one page per AWB number.
Select the Direct print button.

  • From the Search result tab: Print a list of all AWBs in the result.

  • From the Edit tab: Print one separate page per line (AWB).

Return/write back AWB number to the stock

To return AWB numbers that were retrieved via block reservations, select the context menu item Remove AWB numbers on the Edit tab.

Attention: This function applies to ALL lines on the Edit tab.
This function only applies to lines with mark = B.

A query opens, asking whether the AWB numbers are to be returned to the stock:

  • Yes = The code changes from B to J. The AWB number(s) are assigned when you next retrieve an AWB number via F6 in a file.

  • No = The line(s) are deleted.

Assign reserved AWB number to a file

Reserved AWB numbers are to be used in a CargoSoft file.

There are two ways to do so:

  • Context menu → Carrier AWB number from block reservation

  • F6 menu with manual assignment.

Accept Carrier AWB no. from block reservation into the order

In a CargoSoft file, the Carrier AWB number from block reservation entry is displayed in the context menu of the AWB Main tab if a carrier stock has been reserved for the airline.

A selection mask with all available reserved AWB numbers of the carrier entered in the file opens.

Select an AWB number by activating the checkbox and click the button Accept.

The AWB number is assigned to the file and receives the mark = N - assigned/used in the block reservation program.

Manually accept AWB no. into the order

Press F6 and select AWB no. manually.
Click OK.

In the new mask, enter the AWB number manually and confirm with OK.

CargoSoft recognizes that this AWB number is recorded in the reservation stocks and automatically changes the status from B - block reservation to N - assigned.

Message: This AWB no. is in the reservation stock! It will be removed from the stock.
