Step 1: Transfer a file
Create an order on the Services tab and select the respective service type according to the basic data.
After the basic data and preallocations have been configured correctly, select the context menu item Send service order located in the Overview of the Services tab.
A successful transmission is indicated by green checkmarks in the fields Provider and Service provider.
Step 2: Convert file
Open the Environment menue → EDI → EDI Mailbox in Environment EDI in the mode that is to receive the order and search for transferred orders.
Select an order and create a file via the context menu entry Convert marked positions.
Confirm with OK. The file is saved in the sidebar.
From the sidebar you can open and edit the file as usual.
If orders are transferred to other modules through the Services tab, the transferred file displays the original file and reference number on the Info tab.
Step 3: Cost forwarding to original file
In basic data COMPANY → BRANCHES → NUMBER RANGES you can decide whether costs/revenues are to be booked on the original file or remain on the transferred file (default).
If you, for instance, create a receivable on a transferred file (Invoicing tab), the amount will be posted in the account sheet of the original file.
Through the context menu in the Account sheet → Show voucher information you can see the connection with the transferred file in the field Original file.
This basic data setting takes effect for all vouchers.
In case of a cost splitting or profit sharing, the program determines whether an original file is available in the HB/L, HAWB or SHPT.
Accruals are always posted on the transferred file.
Office-to-office data transmission (O2O)
An EDI data record can be sent from an order using an Office-to-Office (O2O) service order. This EDI data record is then made available in the EDI-Mailbox of the receiving branch.
Transmission of eFiles from HAWBs/HBLs
It is possible to transmit the eFiles of the HAWB positions of a console.
Only the documents from the eFile that have been activated with the C2C checkbox will be transferred.
This also applies to consolidated containers in sea freight with their sub-files.
Controlling the fields to be transferred
The preallocations in the Basic data are used to define which content is transferred in the data record. In addition to the basic data record, further fields can be included or fields that are always included in the basic data record can be removed from the transmission.
Examples:
The order memos are transferred in the data set. This can be prevented
The B/L data should be transferred in addition to the basic data and can be included in the data set
