Function: multiple processing of data sets

When you import/convert a file, the original file is copied and saved.
You therefore have the option to take over the original data set multiple times if necessary.
Activate the checkbox Processed? to search for data sets that have already been imported. The original files of the client that have already been imported will be displayed in the result and can be accepted. The converted original file can only be opened if the correct file number definition has been recorded in the basic data.
Function: processed datasets in display mode
EDI datasets that have already been accepted can only be opened in display mode.
The system will issue a corresponding information message when you open the file, stating that the file is no longer editable.
→ The exception to this rule is the memo-function. Memos and address memos can be recorded even in EDI datasets.
Required fields are not checked; all tabs of the file are available.
An EDI datasets is not displayed in the sidebar after having been closed. Instead, the converted, new file will be available in the sidebar and can be edited.
Mail notification after processing an EDI data set
The sending of e-Mails after a conversion can be configured.
The program generates an e-Mail after you have converted an EDI dataset into an order in case the branch of the new file is different respectively is changed when accepting the file.
Email in efile
After you have converted an EDI dataset into an order, the generated e-Mail will be stored in the eFile with a corresponding reference.
Notification upon shipment entry via gateway
After you have performed the conversion in a gateway branch, you have the option to inform the dispatch gateway station via e-Mail.
This is configured in BASIC DATA → COMPANY → BRANCHES → ADDRESS DATA → Notification upon shipment entry via gateway.
It is necessary that the correct mode, sector and an e-Mail address are entered.
Entry of files across branches
In addition to the gateway notification, in cross-branch conversion an e-Mail can be sent to the user (who accept the data set) or the belonging branch.
The following settings are required:
→ Basic data → COMPANY → BRANCHES → ADDRESS DATA → BCC email address: enter the e-Mail address
or alternatively
→ Basic data → COMPANY → MAIL: activate the checkbox Own copy and set as bcc. The e-Mail address of the user accepting the data set is considered from basic data ADMIN → EMPLOYEES → Email.
EDI mailbox importer
When automatically importing file datasets through the EDI mailbox, the program can also generate emails.
These emails can be sent to specific employees or mailing lists.
This only refers to files that are created in the mailbox through an EDI interface.
